ANONYMISATION OF RECORDS Our preferred approach is the anonymisation of records. We recommend this approach as it preserves the historical information for future reporting and analysis. All PID can be removed, whilst preserving other key elements of the record. To simplify the anonymisation process, the field data will be deleted and not replaced with masks. DATA RETENTION PERIODS This option allows the administrator the ability to set a retention period for PID. For example, you may decide that data should be removed/ anonymised "X" number of years after a claim is closed. LOCKING/HIDING OF DATA Clients can "hide" or lock records so that no data-processing can occur in situations where a data subject has raised an objection. This allows the data controller to cease all processing of the information: it is hidden from all users (except the administrator) and does not appear in any reports generated. The administrator has the ability to select and deselect this option from the record menu. PHYSICAL DELETION OF RECORDS Another option for clients is the deletion of the record. If a client wants to delete any record with PID, they can choose to permanently delete the record in which case it is removed completely from Ventiv's applications.
