HOW RPA WORKS: REAL-WORLD USE CASE How does RPA work? Consider the example of managing certificates of insurance. • When an email is received the bot opens the email and then opens the attached documents (e.g., MS Word files or PDFs). • Then, the bot reviews the document to check if all information is included and if the values provided meet the parameters specified by the risk and insurance team (e.g., minimum sum insured, insurer rating, etc.). • If the information is complete and meets the specified parameters, the bot then emails the sender to confirm that the certificate has been received and is in order. > At this point the bot shifts its focus to the organization's risk management information system (e.g., Ventiv's RiskConsole): the document is saved in the designated location for recordkeeping and access later; for ready access, the bot enters the certificate information into the appropriate record. • If, however, the form is incomplete, the bot automatically replies to the sender with an email describing the specific areas that need to be corrected. BOTS CAN RUN 24/7 OR FOR A SCHEDULED TIME AND BE PROGRAMMED TO FOLLOW BUSINESS RULES. STAFF TIME IS THEN FREED UP TO CONCENTRATE ON MORE CREATIVE BUSINESS PROCESSES AND NEEDS, MEANING STAFF ARE HAPPIER AND LESS HAMPERED BY REPETITIVE TASKS. UPGRADES ARE ALSO AVAILABLE.
