"When they found out we were implementing the system, they proposed a unique solution," says Robles. "If we provided them with remote access, they could process our claims directly in iVOS. Previously, they sent us reports. Now, we view loss development in real- time. We see everything the TPA does to manage our claims, which improves oversight and communication." "While our department was moving to a modern platform, other systems were still legacy applications," Robles notes. "It was difficult to get the systems to communicate with each other and to get departments on the same page due to varying levels of technological capabilities." "In the end, Aon eSolutions came through," says Robles. "eir team worked hard to understand both the process complexities and requirements in handling taxpayer dollars, as well as the data formats the legacy systems required." "In many cases, we reengineered our operations to fully leverage new capabilities," Robles says. "We used to generate dozens of monthly reports and physically mail them to stakeholders. Reporting is now automatically performed, with no personnel involvement." "Old methods of data management no longer applied," Robles says. "We had to rethink information flow because iVOS performs so many tasks automatically, such as importing data and performing calculations. Previously, when we initiated a claim, we had to open HR and payroll systems to manually transfer data. is created inefficiencies and inaccuracies, which were our biggest challenges. By making sure our adjusters are all taking the same approach, we can more accurately and consistently finance our risk." "In these difficult times, our department lost several positions," says Robles. "When the economy declines, claims typically rise. To manage increased work with decreased staff, we've had to rely on technological automation. With business rules, workflow management and system interfaces, we've achieved more with less. iVOS helps us get it done, and that's an important benefit." We use third-party applications, but those systems all base their data on the speed, efficiency and accuracy of iVOS," Robles says. e county's risk control department comprises 10 risk control specialists, five of whom are stationed at departments with high exposures. To better manage exposures, the risk control department established the Arrowhead Achievement Program, which uses iVOS to assist departments in quantifying as well as reducing their losses. "Historically, the risk control department didn't have direct access to data; we're excited to have iVOS as a tool," Williams says. "Money always gets people's attention," Williams continues. "We show departments their areas of highest incurred losses. Most managers are amazed at how much they're spending and want to do something about it. We help those departments devise a plan to reduce the frequency and severity of their losses." "With iVOS, we're also able to identify trends sooner and respond to them as they're occurring," Robles says. "In the winter, we may be alerted to a large number of snowplowing accidents. Our safety professionals can immediately take action to address the problem."
